There is no "best" vendor - there is the right one for your site

Three things decide it: the platform your business runs on, what your buildings allow, and how your teams actually meet. We install all five vendors, so our advice starts with your rooms - not a brand target.

Estimate your rooms in ten seconds

Pick a room type and how many you need. The estimate uses the same catalogue prices and rate-card labour as everything else on this page, including the multi-room saving on install labour. No email required.

    Illustrative budget, installed (ex VAT)

    £15,504 - £34,744

Includes ~41% multi-room saving on per-room install labour. Prices from our July 2026 price book and rate card.

The same arithmetic we use in real quotes, so you can see exactly how a total is built.

One medium meeting room (HP Poly)

Hardware (video bar, touch controller, 65″ display)£5,892
    Installation (1 engineer-day)£1,080
    Commissioning & sign-off£500
    Total, installed (ex VAT)£7,472

    Five medium rooms, one rollout

    Hardware × 5£29,460
    Install labour × 5 (shared survey, PM & travel)£2,441
    Commissioning × 5£2,500
    Total, installed (ex VAT)£34,401

Per-room install labour here runs ~55% below the single-room example - that's the rollout economy of scale, from the same taper our Room Builder uses.

Installation costs, and how multi-room rollouts scale

    Single room

Professional installation runs £1,080 per engineer-day, with commissioning from £500 per room - testing, platform enrolment and documented sign-off. A straightforward room is usually £1,400 to £1,800 of labour on top of hardware, more where cabling or containment work is needed.

    Multi-room rollout

Survey, design and project management are shared across the estate, so per-room labour falls fast. Our largest single programme standardised 44 rooms across one multi-floor building under one design and one project manager.

    1 room
    £1,080/room
    2 rooms
    £929/room
    4 rooms
    £637/room
    8 rooms
    £486/room
    15 rooms

    What moves the price

    Room size and audio complexity

Seats dictate camera coverage and microphone count. Once a room needs ceiling microphones, DSP processing or speech reinforcement, audio becomes the biggest line on the quote - often more than the video bar itself.

Displays: one, two, or a wall

A second display for dual-screen Teams or Zoom layouts adds roughly £1,100 to £1,600 at 75″. LED video walls for boardrooms and town-hall spaces are a different budget class - see our video walls page.

    Cabling, containment and building works

New-build rooms with containment in place install fastest. Retrofitting occupied buildings - lifting floors, chasing walls, out-of-hours access - adds labour days that have nothing to do with the AV hardware.

    Installation and commissioning

Professional installation runs £1,080 per engineer-day and commissioning from £500 per room (testing, platform enrolment, sign-off). A single straightforward room is typically £1,400 to £1,800 of labour all-in; on multi-room projects the per-room labour cost falls sharply.

    Platform and licensing

Room hardware is platform-certified for Microsoft Teams, Zoom or Google Meet. Licensing is additional - Teams Rooms Pro is around £26 per room per month. Our Teams Room cost guide covers that side in detail.

Neat vs Poly vs Logitech vs Yealink vs Cisco: which fits the way you work?

All five are excellent platforms - that is why we deploy them all. What separates them is fit: the shape of your rooms, the platform your business runs on, and how your teams actually meet.

    Neat

One-box simplicity that standardises beautifully across multi-room estates - like the 8-room council estate in our case studies.

    HP Poly

Excels in larger and audio-complex rooms - and as an authorised HP partner, our supply and warranty run direct.

    Logitech

The familiar choice for IT teams: easy BYOD, broad ecosystem, painless to manage.

    Yealink

Strong value for straightforward, budget-led single rooms.

    Cisco

The standard where Webex or an existing Cisco estate sets the direction.

Which one for your rooms? That depends on your platform, your buildings and how your people meet - a 30-minute conversation, not a spreadsheet decision.
